A WhatsApp message template you send after the first day of a chat needs Meta's approval, word for word, before it reaches a single customer. Get the category wrong and it gets rejected, sometimes over one misplaced variable. Here is what usually clears review, what usually bounces back, and six templates in Arabic and English you can adapt this week.

Why templates need approval at all

WhatsApp lets a business reply freely for 24 hours after a customer's last message. Once that window closes, you can only send a message built from a template Meta has already reviewed, a rule we walked through in our piece on the 24 hour rule. This is what lets a salon confirm tomorrow's appointment three days after the customer last wrote in, without it landing like an unsolicited message.

Every template goes through review before you can use it, and the review reads the wording, not your intention. A perfectly reasonable reminder gets rejected if it reads like an advert. A genuinely promotional message gets rejected if you label it a reminder to dodge the stricter review. Knowing the difference before you submit saves the two or three days a resubmission usually takes.

Three categories decide everything

Meta sorts every template into one of three categories, and it is the category that gets checked, not the name you put on it.

  • Utility: tied to something the customer already did, a booking, an order, a payment, an account. Reminders, confirmations and status updates belong here.
  • Marketing: anything promotional, even dressed up as a reminder. Discounts, new arrivals, event invites and 'book now' nudges fall here, and they need the customer's earlier consent.
  • Authentication: one time codes only, with tightly restricted wording. Most small businesses without app logins never need this category.

What gets approved almost every time

Utility templates that read like they were written for one customer, not a mailing list, clear review fastest.

  • The message ties to a specific action: this order, this appointment, this date.
  • No promotional words, no sale, off, free, limited time or book now, even as a passing word in a reminder.
  • Every variable sits inside a full sentence, never stacked next to another variable and never opening or closing the message.
  • A sample value is filled in for every variable before submission, showing Meta what the finished message will actually look like.

A reminder that reads like it was written for one customer, not a mailing list, is the one that gets approved fastest.

What gets bounced back

Rejections cluster around a handful of habits, and most are easy to fix once you know to look for them.

  • Promotional language slipped into a Utility template, even a single word like 'special'.
  • Variables placed back to back, such as two placeholders with nothing separating them.
  • A template that opens or closes on a variable instead of a full word.
  • Missing sample text for a variable, the single most common rejection Meta cites.

The reminder that pays for itself

Maha runs a four chair beauty salon in Al Khoud and books everything through WhatsApp. This composite example shows what one Utility reminder template changed in a typical month, using rough, redoable numbers.

  1. Appointments booked in a month: 220.
  2. No shows before automatic reminders, at 15 percent: 33 appointments, each worth about OMR 12, for OMR 396 in lost chair time.
  3. No shows after a reminder template sent the evening before, at 6 percent: 13 appointments, for OMR 156 lost.
  4. Revenue recovered from the reminder template alone: about OMR 240 a month, before counting the time nobody spent making reminder calls.

A template rejected once for the wrong reason usually gets rejected again for the same reason, so it pays to read the rule before the second try.

What this means for you

Before you submit a template, read it as if you were the customer receiving it. If it only makes sense with your business name and this specific booking, order or date in it, it is probably Utility and will clear review quickly.

If the same wording would work equally well sent to every customer on your list, whether or not they have an open order with you, it is Marketing, and it needs their earlier consent, not just an approved template. Register both languages you actually use, since Meta reviews each language version on its own.
